Using the Smartevals course evaluation system (information for AAs/Chairs)

N.B.: SmartEvals will open multiple tabs so that you can move between screens of information without using the back button on the browser.

N.B.II.  You can switch to an instructor view to see only your evals by clicking on Account>>Switch to Instructor View.

Before release to students

As soon as the courses have been entered into our online evaluation system, Dept Heads (chairs and AAs) can view the courses that will have access to the online version of the survey and make some modifications.

Viewing courses

Getting to the SmartEvals system:

  1. Go to Blackboard (http://blackboard.oberlin.edu) and log in using your ObieID.
    Your ObieID is 8 characters. It is not your email (e.g. aborroni@oberlin.edu), nor is it your alias (albert.borroni@oberlin.edu) or T#.  Mine would be aborroni. Use the same password used to log in to your oberlin.edu email.
  2. Once in Blackboard, click on the Survey tab/link at the top of the page and then click on the ‘Login to SmartEvals’ link.

Once in SmartEvals

  • Preview upcoming evaluations. There are two ways to access upcoming evaluations:
  • In the preview mode, there are 5 clickable options:
    1. 1) View in old format (this is what we are using this fall)
    2. 2) view in new format (we will be using this in the Spring)
    3. 3) Ability to download a pdf version that can be handed out
    4. 4) Eval Period (don’t use this – very confusing)
    5. 5) Sec (refers to Section of the course — opens a host of other options that are explained later).
  • After clicking on number in the Sec column for that particular course there are a number of options.  The options in this area will allow you to
    1. delete a course from the online system
    2. cross list it
    3. preview it
    4. change the teacher, section and course idea.
      N.B. changing any of these have various effects on the delivery of the evals.  Until we get a better feel for the system, it would be best to contact evals@oberlin.edu if you need to have any of these options changed.

After close of evaluation period (View Results)

AA or Dept Chair can get data from anyone in their department in two ways:

  1. the collated data for a particular faculty member.
  2. each student’s responses to all the questions as a separate page (Individual Responses).

Get in to the SmartEvals system:

  1. Go to Blackboard (http://blackboard.oberlin.edu) and log in using your ObieID.
    Your ObieID is 8 characters. It is not your email (e.g. aborroni@oberlin.edu), nor is it your alias (albert.borroni@oberlin.edu) or T#.  Mine would be aborroni. Use the same password used to log in to your oberlin.edu email.
  2. Once in Blackboard, click on the Survey tab/link at the top of the page and then click on the ‘Login to SmartEvals’ link.

Once in SmartEvals – collecting collated/summary data

  1. Select  Reports  from the top of the page.
  2. Select ‘Email PDF Reports’ or ‘Download PDF Reports’ in the drop down menu.
  3. In the next window find the person who’s evaluations you want to download by selecting the appropriate options in the dropdown menu.
  4. Be sure the comments AND custom report is selected.
  5. By default you will download or be sent 1 pdf for each course. If you want all reports in 1 PDF, select the ‘Group reports into 1 PDF’ option. This option only appears when emailing reports. It is the default when ‘downloading’ reports i.e. downloaded reports will have ALL the selected instructors in 1 pdf.
  6. Select ‘All’ or some subset of courses.
  7. Click on the ‘Email’ or ‘Download’ button.

Emailed reports will go to the email associated with the person that is logged into the system. Downloaded responses will more than likely end up in your downloads folder.

Collecting  INDIVIDUAL Student Reports — view/download the individual submissions (similar format to the paper submissions)

  1. Go to Reports>>Survey Results
  2. Click on the ‘Arts and Science’ or ‘Conservatory’ link in the column titled ‘Division.’
  3. Click on the Department link in the column titled ‘Course Dept.’
  4. Click on the graph icon in front of the course for which you want to download the data.
  5. Click on the ‘Individual Evaluations’ at the top of the page.
  6. Select (tired of saying ‘click on’) the option to ‘Export to PDF.’  WAIT while SmartEvals does it’s thing.
